    AuxioAI Privacy Policy

    1. Who we are

This Privacy Policy describes how AuxioAI (“we,” “us”) collects, uses, and shares information when you use our websites, applications, and related services (collectively, the “Services”). The Services are operated by AuxioAI Inc., a corporation incorporated under the Canada Business Corporations Act (CBCA), with its registered office at 323 Coventry Road, Unit 213, Ottawa, Ontario K1K 3X6, Canada. Our appointed Privacy Officer can be reached at support@auxio.ai for any question about this Policy or how we handle personal information.

    2. Information we collect

    We may collect:

    • Account and contact details you provide (such as name, email, phone)
    • Consent records and communication preferences, including SMS opt-in and opt-out details
    • Usage and device information (such as logs, approximate location from IP, cookies)
    • Communications you send us or content processed through the Services as described in our agreements

    3. How we use information

    We use information to:

    • Provide, maintain, and improve the Services
    • Communicate with you, including support and service messages
    • Send SMS messages only after explicit opt-in for scheduling, reminders, customer support, and service updates
    • Protect security and integrity, comply with law, and enforce our terms
    • Analyze usage in aggregated or de-identified form where appropriate

    4. SMS and phone number use

If you submit a phone number through our SMS consent forms or other opt-in flows, we use that phone number to send the messages you agreed to receive, such as appointment reminders, scheduling updates, customer support follow-up, and other service-related communications.

Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP, and you can request assistance by replying HELP or contacting support@auxio.ai.

    5. Sharing and subprocessors

We may share information with service providers (subprocessors) who assist our operations, when required by law, or in connection with a business transfer subject to safeguards. We do not sell personal information or phone numbers, and we do not share phone numbers with third parties for their own marketing purposes. Our current subprocessors include:

    • Twilio — SMS and communications delivery
    • Stripe — payment processing and billing
    • Sanity — content and structured data storage

We will update this list as our subprocessors change and, where we have a written agreement requiring it, provide advance notice of a new subprocessor.

    6. Cross-border data transfers

AuxioAI is based in Canada, but some of our service providers store or process data outside Canada, including in the United States. Where personal information is transferred across borders, it remains subject to this Policy and to appropriate contractual safeguards with the receiving service provider, and it may also be accessible to courts, law enforcement, and national security authorities of that jurisdiction under its laws.

    7. Breach notification

If we become aware of a breach of security safeguards involving personal information under our control that creates a real risk of significant harm, we will notify affected individuals and, where required by applicable Canadian privacy law (including PIPEDA), the Office of the Privacy Commissioner of Canada, without unreasonable delay.

    8. Marketing email (CASL)

Where we send commercial electronic messages to Canadian recipients, we do so in accordance with Canada's Anti-Spam Legislation (CASL): we obtain consent (express or, where permitted, implied), identify ourselves and provide contact information in each message, and include a working unsubscribe mechanism that we honour within 10 business days.

    9. Retention

We retain information for as long as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements.

    10. Your rights

Depending on where you live, you may have rights to access, correct, delete, or restrict certain processing of your personal information, or to object or withdraw consent where applicable. Contact our Privacy Officer to exercise those rights.
